Sue Ross Recruitment are working with a leading international law firm in the recruitment of a Senior HR Coordinator to join their Sheffield office. The role would suit a highly experienced HR Administrator, Assistant or Coordinator who thrives in a fast-paced environment and would enjoy working with colleagues across Europe, the Middle East and Africa (EMEA). The role will join the EMEA HR and Talent Acquisition team, which consists of 21 dedicated professionals working across 13 offices in Europe, the Middle East and Africa. The role will report into the Sheffield-based HR Supervisor who leads our HR Shared Services team. The role is based in the small, friendly Sheffield-based HR Shared Services Team providing administrative HR support and guidance to over 950 employees in the UK, Ireland and five continental European offices. The role will be responsible for supporting the HR Team with the smooth running of HR activities across our European offices. This involves the prompt execution of tasks and activities to support an effective and efficient HR team. In partnership with the HR team, this role will be responsible for the employee lifecycle for the European employees including coordinating all necessary onboarding compliance involved in preparing a new joiner to the Firm through to offboarding. This will require engaging with internal stakeholders and external third parties to ensure a smooth and efficient process. Other key responsibilities include: First line support for HR queries from colleagues across the Firm, managed through the HR Shared Service ticketing system and ensuring a timely response within the agreed SLA timeframe. Allocating tickets to other HR Shared Service colleagues accordingly, and escalating to the HR Specialist, Supervisor or Manager where required. Approve drafted offers and contracts for new starters, communicating with our new hires responding to any questions and ensuring relevant new hire documentation is returned in good time. Respond to queries and work with managers, employees, the Talent Acquisition team, and new hires to ensure a smooth and welcoming onboarding experience for the Firm s new joiners. Oversee new hire set ups including inductions timetables, meeting invites and IT request coordination for new starters, ensuring the HR Coordinators have completed this in a prompt and timely manner and dealing with any escalations as required. Oversee the drafting of formal templated correspondence such as salary increase letters, promotion letters, passed probation letters, general leaving arrangements letters, employment attestations and manager change letters etc. by our HR Coordinators, before approving and sending to employees and responding to any queries. Working with HR Coordinators to ensure smooth offboarding of leavers within the European region, such as ensuring IT access is terminated and exit interviews are arranged with the relevant HR Specialist or Manager. Drafting non-templated, ad hoc letters and employment documentation. Ensuring that pre-employment screening checks are completed for UK and Irish new hires via our third-party vendor, responding to general employee/vendor queries. Overseeing the entire screening process after the initial checks have been ordered by HR Coordinators to ensure that any issues are promptly investigated and escalated where required. Forwarding final screening reports to be signed off by the HR Specialist or Manager. Escalate unsuccessful or extended probations to the relevant HR Manager or Specialist and draft extension paperwork for approval. Manage flexible working arrangement requests including preparing paperwork and tracking trial expiry dates. Monitoring absence levels, escalating to the relevant HR Manager or Specialist where required and generating reports. Monitor work permit expiry dates and renewals for employees across Europe as well as conducting right to work checks and immigration filing compliance. Escalate any approaching visa expiry dates to the relevant HR Specialist or Manager if required. Run management reports as prompted, such as general headcount reports or training completion reports. Benefits administration actions for the European offices, such as enrolling employees into the Private Medical cover. Coordinate the monthly overtime collation for the UK offices ahead of payroll deadlines, updating payroll accordingly. Working with HR Coordinators to ensure that new hires have completed their mandatory training within given timeframes and dealing with escalations where required. Manage work experience candidates and the onboarding of successful candidates in the UK. Working with HR Coordinator colleagues to ensure online filing is kept up to date. Other ad hoc HR support and projects for the wider EMEA region. Required Skills: You will have good level of experience in HR Administration or Shared Services, ideally with a general understanding of UK and/or European employment law. You must also be comfortable handling confidential and sensitive information. You will also have excellent organisation and communication skills, the ability to work in a fast-paced environment is essential to this role. Also required: A self-starter who has the ability to deliver excellent results. Able to take own initiative and anticipate needs of our employees. Detail-oriented and the ability to provide high levels of accuracy in all work. Strong time management skills. Excellent customer/client service skills. Proven ability to work well as a member of a team, as well as the ability to work independently. Working with a service ticketing system, ideally Service Now, would be preferred but not essential. Degree level education, or a CIPD Level 3 would be preferred, but is not essential.
